Label WhatsApp chats by stream, then filter who replied

Label customer chats by stream of work — Leads, Orders, Billing, Technical — not by who spoke last. Who is waiting is a filter: the WhatsApp Business app fakes it with status labels on one phone; Kondo Desktop pairs personal WhatsApp numbers and puts Waiting for my reply and Waiting for their reply on every inbox, including each label inbox.

Why does WhatsApp support get messy for a small team?

WhatsApp was built as a personal messenger. A support inbox on it looks like a personal chat list: newest message on top, no owner, no status. Two people sharing a phone, or sharing a WhatsApp Web session, cannot tell who already replied. A chat that is waiting on the customer sits next to a chat that needs an answer now.

The fix is not more scrolling. It is a small, shared vocabulary of labels, used the same way every time, and a rule for what happens after a label is applied — archive it, set a reminder, or leave it in that label’s inbox.

What label system should a small support team use?

Label the stream of work. Do not label who spoke last — that flips on every message, and in Kondo Desktop it is already a filter. Use labels such as:

  • Leads — not yet a customer.
  • Customers — active accounts you keep coming back to.
  • Orders, Billing, Technical — specialist queues. A chat can carry more than one.
  • Urgent — a second label on top of the stream, used sparingly.

A chat in Billing that also needs a specialist can carry both Billing and Technical. Do not add a Waiting label — in Kondo Desktop, Waiting for my reply (Shift + W) and Waiting for their reply (Shift + S) already split any inbox that way.

Keep the set small. The WhatsApp Business app caps you at 20 labels. In Kondo Desktop, do not spend labels on New, Waiting, or Done: unlabeled chats are Focused, who spoke last is a filter, and Done is Archive.

Open a label inbox and press Shift + W for the live queue, or Shift + S for chats you already answered. The same filters work in Inbox, Archive, Reminders, and every label inbox.

Can I just use WhatsApp Business labels?

Yes, if one person answers on one phone. The WhatsApp Business app lets you create up to 20 color-named labels, apply more than one to a chat, and filter by label. Meta is rolling some accounts from labels onto lists; the 20-label cap still applies where labels exist. Kondo Desktop does not pair WhatsApp Business accounts — only personal numbers in the regular WhatsApp app.

That setup breaks down when:

  • Two people need the same labeled view at the same time — one phone is one WhatsApp Business install.
  • You need a label inbox you can archive and remind inside, not only a filter on one list.
  • You need the labels on a computer without passing the phone around.

WhatsApp’s labels stay on that business account. They are not a team workspace.

How should a small team share one WhatsApp number?

You have three honest setups.

One phone, WhatsApp Business. Cheapest. One agent at a time. Native labels only.

Linked-device apps (Kondo Desktop, TimelinesAI, and similar). Each person signs into their own account and scans WhatsApp → Linked devices in the regular WhatsApp app, the same way WhatsApp Web connects. Kondo Desktop pairs personal WhatsApp numbers only — not WhatsApp Business. Two Kondo accounts can pair to the same personal number, or each person can pair their own. There is no assignment: both people see the same chats if they share a number, so the label is the handoff. Team labels and team snippets stay in sync. The phone must open WhatsApp at least once every 14 days or WhatsApp drops the link.

WhatsApp Cloud API / Business Platform (respond.io, Wati, Trengo, and similar). One company number, a shared queue, assignment, bots, and template messages. The number is registered on Meta’s Business Platform. Meta charges per-message fees on top of the subscription.

If two people will collide on the same customer, and you need a named owner per chat, pick the Cloud API option. Kondo Desktop does not assign chats to teammates.

When should I use the WhatsApp Business API instead?

Use a Cloud API inbox when you need any of:

  • Official WhatsApp Business Platform features: a verified business profile, approved templates, and Meta’s customer-care messaging window.
  • Assignment, routing, or chatbots on one company number.
  • High-volume broadcasts.
  • A helpdesk that also covers email, SMS, or Instagram.
  • Windows or a browser today. Kondo Desktop for WhatsApp is a Mac app; Windows and Linux are coming.

Kondo Desktop fits when the team already talks on existing personal WhatsApp numbers, wants labels, snippets, and reminders on a Mac, and wants message history to stay on the machine. Kondo Desktop does not pair WhatsApp Business accounts.

How do labels work with archive, reminders, and snippets?

Labeling is triage. Archive and reminders are how you leave the queue.

  • After you reply, archive the chat so it leaves Inbox. A new reply restores it. Waiting for their reply still finds it if you need it before they write back — or switch the filter to Everything (Shift + D) to include archived chats in place.
  • If you cannot finish a chat that is waiting for you, set a reminder for the time you will come back. If they message first, the reminder is cancelled and the chat returns.
  • For answers you type every day, use a snippet with the customer’s name filled in, so every labeled stream gets the same first reply.

How does Kondo Desktop organize WhatsApp labels?

Kondo Desktop is a native Mac app that pairs a personal WhatsApp number as a linked device. Kondo Desktop does not pair WhatsApp Business accounts. Each label is its own inbox in the sidebar. Press L, pick a label or type to create one. A chat can hold several labels and appears in each of those inboxes.

Labels have a name, color, and icon. You can reorder them or hide inboxes you do not use. New mail in a labeled chat shows in that label inbox and in Inbox. Focused shows only chats with no labels, so labeling is also how you keep the main view quiet. Inside any inbox, Waiting for my reply (Shift + W) and Waiting for their reply (Shift + S) filter who spoke last.

Labels are personal by default. An admin can share a label with the team; everyone then sees that label on the chat. Personal labels stay private. Kondo labels do not write back to WhatsApp’s own labels on the phone.

Kondo stores labels, reminders, and snippets in your account. Message history, contact names, and attachments stay on your Mac and are not uploaded to Kondo’s servers.

Team snippets work the same way: turn on Share with team. Non-admins can use them; only admins edit them.
