Make WhatsApp behave like an inbox

Kondo is a Mac app for people who run work through WhatsApp. Label chats, set reminders, send snippets, and move through the pile from the keyboard.

WhatsApp was built for friends, not for work

The moment business runs through it, the app that felt effortless starts costing you hours.

Everything in one pile

Clients, suppliers, family, and a dozen group chats share a single list. By lunchtime the chat that matters is three screens down.

Replies that never happen

You read a message on your phone, mean to answer properly later, and it sinks. Nothing brings it back.

Search that gives up

You know someone sent you the address. On a phone screen, finding it means scrolling and hoping.

What the phone app leaves out

Kondo runs on your Mac alongside the phone app and adds what a working inbox needs.

Chats labeled Hot Leads, filtered into an inbox of their own

Labels

Split one list into many

Label chats by client, project, or stage and open each as its own inbox. What needs you today stops competing with everything else.

A chat with a reminder set for a later morning

Reminders

Bring a chat back when it matters

Set a reminder on any chat and it returns to your inbox, unread, when it is due. Following up stops depending on memory.

More in the desktop app

Stop retyping the same answer

Save the replies you send constantly and drop one in with a few keystrokes, with the contact’s name filled in for you.

Read what a voice note says

WhatsApp runs on voice notes. Switch on transcription and Kondo writes them out, so you can read one instead of stopping to listen.

Share a label with your team

Put your colleagues on the same plan and share a label with them, so a shared workstream is not locked to whoever happened to receive the message.

FAQs

Does Kondo work with the WhatsApp account I already use?

Yes. You pair Kondo as a linked device, the same way you would link WhatsApp Web. You carry on using WhatsApp on your phone, which needs to connect at least once every 14 days to keep the link alive.

Is this a WhatsApp automation tool?

No. Kondo does not send bulk messages or automate outreach. It organizes the chats you already have.

How much of my history comes across?

WhatsApp only shares recent history with a linked device, so Kondo starts with roughly the last month rather than your whole archive. Everything from then on syncs to your Mac as you keep using it.

Where do my messages live?

Your messages are stored as local data on your own Mac. What you add on top, meaning labels, reminders, drafts, and contact notes, syncs through Kondo’s servers so it reaches your other devices. Deleting local data clears the copy on your Mac and unpairs WhatsApp.

What do I need to run it?

A Mac on macOS 13.3 or later and a Kondo subscription. There is no free tier. Pairing takes a couple of minutes.
